Have your determination letter or local equivalent ready in the first email. It removes a round trip and signals that you are a real buyer rather than someone fishing for a deal. Mention your budget cycle too, since vendors will often shape terms around when your funding actually lands.

Look at structure, not just the discount

A tool that charges per user will punish a nonprofit with a large staff and volunteer roster no matter what discount you negotiate. A tool priced per client workspace or per brand usually costs less in practice for an organization running a handful of programs with many people touching them.
